How to Check In at a Hotel in English

Hotel staff guide the check-in. Your job is to give the booking name, understand the essentials, and ask for one thing at a time.

You do not need to open with a long explanation about your flight. A booking name gives the receptionist the quickest route to helping you.

The basic check-in

If the booking is in somebody else’s name, say so immediately: “The reservation is under my colleague’s name, Daniel Wu.”

Ask about practical details

  • What time is checkout?
  • Is breakfast included in the room rate?
  • How do I connect to the Wi-Fi?
  • Could I leave my luggage here after checkout?
  • Is there somewhere nearby to get a late dinner?

“If possible” makes it clear that you understand the request depends on availability. If the answer is no, ask for the nearest alternative rather than repeating the same request louder.

Report a room problem clearly

  • The air conditioning doesn’t seem to be working.
  • There’s no hot water in the shower.
  • I think the key card has stopped working.
  • The room is quite noisy. Is there another room available?

Give the room number, describe what you observed, and ask for a next step. “The air conditioning has been running for an hour, but the room is still warm. Could someone take a look?” is specific and calm.
